At KLYX, we are committed to customer satisfaction and delivering high-quality digital marketing and web development services. This Refund and Cancellation Policy outlines the conditions under which refunds may be issued and how cancellations are handled.
Please read this policy carefully before engaging our services. By making a payment, you acknowledge that you have read and agree to this Refund Policy.
Important: Due to the nature of digital services, refunds are subject to specific conditions outlined below. We encourage you to discuss project requirements thoroughly before making payments.
2. Refund Eligibility
Refunds may be considered under the following circumstances:
2.1 Project Not Started
If you request a refund within 7 days of payment and no work has commenced on your project, you are eligible for a full refund, minus payment processing fees (as charged by Razorpay).
2.2 Service Not Delivered as Promised
If KLYX fails to deliver the agreed-upon services within the specified timeline without valid justification, you may be eligible for a partial or full refund based on the following:
- Project delays caused entirely by KLYX (not by client feedback delays)
- Deliverables significantly different from the approved scope
- Failure to meet agreed-upon quality standards after reasonable revision opportunities
2.3 Technical Issues Preventing Delivery
If KLYX encounters unforeseen technical limitations that prevent project completion, and no alternative solution can be provided, a pro-rata refund based on work completed will be issued.
3. Non-Refundable Services
The following circumstances do NOT qualify for refunds:
3.1 Completed and Approved Work
Once work has been completed, delivered, and approved by the client, no refunds will be issued. Approval is indicated by:
- Written approval via email or project management tools
- Acceptance of final deliverables
- Website go-live approval
- Final payment made without objections
3.2 Third-Party Costs
Costs incurred for third-party services are non-refundable, including:
- Domain registration and renewal fees
- Web hosting charges
- Premium plugins, themes, or software licenses
- Stock imagery or media licenses
- Advertising spend (Google Ads, Facebook Ads, etc.)
- SMS/Email marketing service fees
3.3 Change of Mind
Refunds are not provided simply due to change of mind after project commencement. If you no longer wish to proceed, cancellation terms (Section 5) will apply.
3.4 Ongoing Subscription Services
Monthly services (SEO, SMM, Blog Management) are paid in advance and are non-refundable once the service month has begun. You may cancel future billing cycles with 15 days notice.
3.5 Client-Caused Delays
If project delays are caused by lack of client feedback, late content submission, or unavailability, no refunds will be issued for time-based delays.
4. Partial Refunds
In cases where a project is partially completed, refunds will be calculated based on:
4.1 Milestone-Based Projects
If your project is structured with milestones:
- Completed milestones: No refund for completed and approved milestones
- In-progress milestones: Partial refund based on percentage of work completed
- Not-started milestones: Full refund for milestones not yet initiated
4.2 Hourly/Time-Based Projects
For time-tracked projects, refunds will be calculated as:
- Total paid amount minus hours worked × hourly rate minus third-party costs
4.3 Fixed-Price Projects
For fixed-price projects, refund amounts are determined based on:
- Percentage of project completion (mutually agreed upon)
- Value of work delivered to date
- Resources allocated and time spent
5. Cancellation Policy
Either party may cancel services under the following conditions:
5.1 Cancellation by Client
Before Work Begins:
- Within 7 days of payment: Full refund minus processing fees
- After 7 days but before work starts: 80% refund (20% administrative fee)
After Work Begins:
- Client may cancel at any time with 15 days written notice
- Payment for all completed work will be retained
- Partial refund issued for incomplete work (pro-rata basis)
- Third-party costs are non-refundable
5.2 Cancellation by KLYX
KLYX reserves the right to cancel services if:
- Client fails to make payments as per agreed terms
- Client violates our Terms and Conditions
- Client requests work that violates laws or ethical standards
- Client engages in abusive behavior toward our team
In such cases, payment for completed work will be retained, and remaining funds will be refunded within 7-14 business days.
6. Refund Request Process
To request a refund, please follow these steps:
Step 1: Submit Written Request
Email your refund request to contact@klyx.agency with the following information:
- Your full name and contact information
- Project name and invoice number
- Reason for refund request
- Supporting documentation (if applicable)
Step 2: Review and Assessment
Our team will review your request within 3-5 business days and:
- Assess work completed vs. payment made
- Verify eligibility based on this policy
- Calculate refund amount (if applicable)
Step 3: Resolution Communication
We will communicate our decision via email, including:
- Approval or denial of refund request
- Refund amount (if approved)
- Expected refund timeline
Step 4: Refund Processing
If approved, refunds will be processed within 7-14 business days to the original payment method via Razorpay.
7. Refund Processing Time
Once a refund is approved:
- Processing by KLYX: 7-14 business days
- Bank/Card Provider Processing: Additional 5-10 business days (varies by bank)
- Total Time: Typically 12-24 business days from approval
Note: Refund timelines may vary based on your payment method and bank processing times. KLYX is not responsible for delays caused by payment processors or banks.
8. Refund Method
Refunds will be issued to the original payment method used for the transaction:
- Credit/Debit Card: Refunded to the same card
- UPI: Refunded to the linked bank account
- Net Banking: Refunded to the bank account used
- Digital Wallets: Refunded to the wallet
In rare cases where the original payment method is unavailable, alternative arrangements will be made (bank transfer, etc.).
9. Payment Gateway Fees
Please note that payment processing fees charged by Razorpay (typically 2-3% of transaction value) are non-refundable. Refund amounts will be calculated after deducting these fees.
10. Dispute Resolution
If you disagree with our refund decision:
- Internal Review: Request a review by our management team
- Mediation: Agree to third-party mediation (if necessary)
- Legal Recourse: Pursue resolution through Indian courts (Delhi jurisdiction)
We encourage open communication and will make every effort to resolve disputes amicably.
11. Chargebacks
If you initiate a chargeback or payment dispute through your bank or payment provider without first contacting KLYX:
- We will provide evidence of service delivery to the payment processor
- Unjustified chargebacks may result in account suspension and legal action
- You will be responsible for any chargeback fees incurred by KLYX
Please contact us first to resolve any payment issues before initiating chargebacks.
12. Exceptions and Special Circumstances
KLYX reserves the right to make exceptions to this policy on a case-by-case basis for:
- Unique client circumstances
- Long-term client relationships
- Genuine hardship cases
Such exceptions are at the sole discretion of KLYX management and do not set precedent for future cases.
13. Changes to This Refund Policy
KLYX may update this Refund Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Refund requests will be governed by the policy in effect at the time of the original transaction.
